Terms of Use
These Terms of Use ("Terms") govern your use of the Ring & Bloom website, client portal, and audio guestbook rental services (together, the "Services"). Ring & Bloom is operated by Skwadlink LLC, a Florida limited liability company ("Ring & Bloom," "we," "us," or "our"). By booking with us or using the Services, you agree to these Terms. If you do not agree, please do not use the Services.
1. Who can book
You must be at least 18 years old to create an account or book a rental. The person who books ("you" or "Client") is responsible for the booking, for payment, and for the event where the booth is used.
2. Our services
Ring & Bloom rents vintage-inspired audio guestbook booths for weddings and special events. Guests lift the handset, hear a greeting you recorded, and leave a voice message after the tone. We deliver, style, test, and collect the booth, and we deliver your guests' messages to you in a private online gallery.
We currently serve events in Palm Beach County, Martin County and St. Lucie County, Florida. Events outside this area are not available unless we agree to them in writing.
3. Booking and payment
- Retainer. A retainer of 35% of your booking total is required to reserve your date. Your date is not reserved until the retainer is paid.
- Balance. The remaining balance is due by the date shown in your client portal. If the balance is not paid on time, we may cancel the booking, and the retainer will not be refunded.
- Payments. Payments are processed securely by our third-party payment processor. We do not store your full card details.
- Changes to your booking. Add-ons, booth styling, and schedule changes may change your total. Any change will be reflected in your client portal before you pay.
- Late teardown. If your booth's scheduled end time is after 10:00 PM, a late teardown fee applies and is added to your total automatically.
- Pricing. Prices and included services (such as an on-site attendant) are those shown at the time you book. We may change our prices for future bookings at any time, but not for bookings already confirmed.
4. Cancellations and rescheduling
- Cancellation by you. If your event is more than 21 days away, you can cancel from your client portal straight away. Your date is released and anything you have paid beyond the non-refundable 35% retainer is refunded to your card. If your event is 21 days away or fewer, all payments are non-refundable. You can still ask us to cancel, and we will respond personally; your date stays held and no further payments are taken while we look at it. Before you cancel, we will offer to move your date (see Rescheduling) or talk it through on a call.
- Rescheduling. You may request to move your booking to another date once, at no charge, if you ask at least 30 days before your original event date and the new date is available and within 12 months of the original. Your retainer carries over to the new date.
- Cancellation by us. If we must cancel for reasons within our control, we will refund all payments you have made. If we cannot perform because of events outside our reasonable control (such as severe weather, natural disasters, government orders, or venue closure), we will first offer to reschedule; if rescheduling is not possible, we will refund payments beyond the retainer.
5. Your greeting
About 30 days before your event, you can record the greeting your guests will hear, directly in your browser through your client portal. You can listen back and re-record as often as you like until the recording deadline shown in your portal. If no greeting is recorded by then, we will use a standard Ring & Bloom greeting.
You are responsible for making sure your greeting does not include content you do not have the right to use, such as copyrighted music.
6. Your event and venue
You agree to:
- Confirm with your venue that the booth is allowed, and share any venue rules, load-in times, or restrictions with us in advance.
- Provide a level, safe space for the booth, and access to a standard electrical outlet nearby if your booth setup requires power.
- Provide covered or indoor placement for outdoor events. We may decline to set up, or may move the booth, if weather or site conditions put guests or equipment at risk.
- Give us access to the setup location at least 2 hours before guests arrive and at the scheduled end time for teardown.
7. Guest messages and notice to guests
Guest messages are recorded only when a guest chooses to lift the handset and speak after the greeting. You agree to let your guests know that the booth records messages (your greeting is a natural place to say so), and you are responsible for how you use and share the recordings after delivery.
We do not control what guests say and are not responsible for the content of guest messages.
8. Care of equipment
The booth, phone, and decor remain our property. You are responsible for loss of, or damage to, our equipment caused by you, your guests, or your venue during your event, beyond normal wear and tear. We will share photos and repair or replacement costs with you before charging for any damage. Please do not move, open, repaint, or modify the booth, and do not allow guests to climb on or lean heavily against it.
9. Delivery of your messages
We aim to deliver your guest messages to your private online gallery within 7 days after your event. We may clean up audio (for example, trim silence and balance volume) and add timestamps. We keep your gallery available for 60 days after delivery, and we recommend downloading your messages for safekeeping. After that period, we may delete them.
While we take great care, recording equipment can occasionally fail. If a technical failure on our part means some or all messages are not captured, our responsibility is limited as described in Section 12.
10. Photos and media release
We may ask for your permission to photograph the booth setup at your event and use those photos in our marketing. Giving permission is optional. If you give permission, we will apply a $50 discount to your balance. We will not use your guests' voice messages in our marketing without your separate written permission.
11. Your account and the website
Keep your login details secure and let us know right away if you think your account has been accessed without your permission. You agree not to misuse the website, interfere with its operation, or try to access areas or data you are not authorized to access. All website content, branding, and designs belong to Ring & Bloom or its licensors.
12. Limitation of liability
To the fullest extent permitted by law, our total liability for any claim relating to the Services is limited to the total amount you paid us for the booking involved. We are not liable for indirect, incidental, special, or consequential damages, including emotional distress or lost memories, except where such a limitation is not allowed by law.
13. Indemnity
You agree to cover any claims, losses, or costs (including reasonable attorneys' fees) that arise from your venue's rules, your guests' conduct, or your breach of these Terms, except to the extent caused by our own negligence or misconduct.
14. Governing law
These Terms are governed by the laws of the State of Florida. Any dispute will be handled in the state or federal courts located in Palm Beach County, Florida.
15. Changes to these Terms
We may update these Terms from time to time. The "Last updated" date at the top of this page shows when they last changed. Your booking is governed by the Terms in effect when you booked, unless you agree otherwise.
